How Panocrafts collects, uses and protects your personal data

This Privacy Policy explains how Panocrafts ("Panocrafts", "we", "us"), which operates https://panocrafts.com (the "Website"), collects, uses, discloses and protects personal data. We act as the Data Fiduciary for the data described below.

Regulatory Basis

Digital Personal Data Protection Act, 2023; Information Technology Act, 2000 and the SPDI Rules, 2011; and the grievance-disclosure duties of the Consumer Protection (E-Commerce) Rules, 2020.

2. Your consent

By sharing your details with us - for example during a gifting consultation, when you place an order, or when you contact us - you consent to our processing of that data for the purposes described here, in line with the DPDP Act. You may withdraw consent at any time (see 'Your rights'); withdrawal will not affect processing already done and may limit our ability to deliver your commission.

3. The personal data we collect

  • Client details: name, email, phone, billing address, and (for corporate clients) company name and GSTIN.
  • Gift & occasion details: the occasion, your brief, personalization inputs (names, monograms, messages), and any preferences you share.
  • Recipient details you provide: the name, delivery address and contact of the person receiving the gift (see 3.1).
  • Order & payment: items/services commissioned and amounts. Card/UPI/bank details are processed directly by our payment gateway and are not stored by us.
  • Technical & usage: IP address, device/browser and pages viewed, via cookies.
  • Communications: messages you send us by email, WhatsApp, Instagram, LinkedIn or the contact form.

3.1 Recipient data

Where you provide the details of a gift recipient, you confirm you are entitled to share those details with us for the purpose of fulfilling and delivering the gift. We use recipient data solely to produce and deliver the commission and retain it only as long as necessary.

4. How we use your data

We use your data to conduct consultations and design your commission; process payments, invoicing and GST; produce, pack and deliver your order; provide support and handle any concerns; send transactional and (with consent) promotional communications; prevent fraud; and comply with law.

5. Cookies & analytics

The Website uses cookies for essential functionality and, where enabled, analytics. You can control cookies in your browser; disabling essential cookies may affect functionality.

6. How we share your data

We do not sell your personal data. We share it only as needed to run our service:

  • payment gateway(s) to process transactions;
  • logistics and white-glove delivery partners to fulfil delivery;
  • IT, hosting and analytics providers who operate the Website for us;
  • professional advisers, and authorities where required by law.

Where we engage a processor, we require it to protect your data and use it only as we instruct.

7. Data retention

We keep personal data only as long as needed for the purposes above, and thereafter as required by law (for example, GST and accounting records). When no longer required, we securely delete or anonymise it.

8. Data security

We follow reasonable security practices as required under the IT Act and SPDI Rules, including access controls, encryption in transit (HTTPS), and limiting access to authorised personnel. No system is completely secure and we cannot guarantee absolute security.

9. Data breach

In the event of a personal data breach, we will act promptly and notify the Data Protection Board of India and affected individuals to the extent required under the DPDP Act.

10. Your rights

Subject to the DPDP Act you may: access a summary of your data and its processing; seek correction, updating or erasure; nominate another person to exercise your rights; withdraw consent; and raise a grievance. To exercise any right, contact our Grievance Officer below.

11. Children

The Website and services are intended for adults. We do not knowingly process the data of anyone under 18 without verifiable parental consent, as required by the DPDP Act.
